How many shuttles do I need for my wedding?
It depends on how many guests need a ride, your vehicle's capacity, the drive time, and the arrival window you want. This calculator divides your guests into loads, checks how many round trips a single vehicle can complete before the ceremony, and recommends enough vehicles so everyone arrives on time.
How early should the first shuttle leave?
Work backward from the ceremony. We schedule the last load to arrive about 15 minutes before the ceremony, then stagger earlier departures by one full round-trip cycle. The suggested pickup schedule shows exactly how many minutes before the ceremony each wave should leave.
Do I need to plan return trips too?
Usually yes. If guests are relying on the shuttle to get back to the hotel, plan a matching set of return trips at the end of the night, ideally with a couple of staggered last calls so the vehicles aren't overwhelmed when the reception ends.
What vehicle capacity should I assume?
Use the realistic seated capacity for guests in formal attire, not the maximum on the spec sheet. Coach buses often seat 40-56, minibuses 20-30, and vans 10-14. Pad your drive-time estimate for traffic and loading at both ends.
