What RSVP yes rate should I assume?
For most local weddings, 75–85% of invitations end up attending. Destination or far-flung guest lists run lower (60–75%), while small, close-knit lists can exceed 90%. Start around 80% and refine the estimate as RSVPs come back.
How do plus-ones affect my headcount?
This calculator applies the plus-one percentage to your attending guests, not your full invite list, since only those who say yes can bring a guest. If you only extend plus-ones to a subset of invitations (for example, married or long-term couples), lower the percentage accordingly.
Why include vendor meals in the count?
Photographers, videographers, the band or DJ, planners, and other on-site crew typically need a meal, and most caterers charge for them. Adding 4–8 vendor meals to your headcount keeps your catering order and final billing accurate.
When should I finalize my numbers?
Treat this as a planning estimate. Caterers and venues usually want a final guaranteed count 7–14 days before the wedding, after RSVPs are in. Use this projection to size your venue and budget early, then lock in the real number once cards return.
